Managing ZIP Codes and City Information in the TMS

This article explains how ZIP codes are managed in the TMS and how the system assigns and allows updates to city, state, and country information.

How ZIP Codes and Cities Are Handled in the TMS

When you enter a ZIP code in the TMS, our system automatically fills in the city, state, and country for that stop. This applies mainly to truckload, LTL, domestic small package, cartage, and drayage shipments. We automatically add the city and state for international shipments, but we recommend you verify and adjust the country as needed.

Why the City Might Look Different Than Expected

We use Google’s Geocoding API to determine city names from ZIP codes.

A single ZIP code can correspond to multiple cities (known as "acceptable postal cities"). In these cases, Google selects one city to display.

For example:
ZIP code 07836 can be mapped to several cities (Mount Olive, Chester Township, Netcong, and Roxbury Township), but Google’s API will return Roxbury Township as the primary locality.

This can lead to situations where:

  • You expect to see “Flanders, NJ”.

  • Google returns “Roxbury Township, NJ”.

How to Manually Override the City

You can update the city manually after entering the ZIP code. This is especially useful if the automatically assigned city isn’t the one you want displayed.

Important:

  • Always enter the ZIP code first, then update the city.

  • If you enter the city first and then add the ZIP code, the system will overwrite your city with the one provided by Google.

Steps to Override:

  1. Enter the ZIP code for your stop.

  2. Once the system auto-fills the city, edit it to your preferred city name.

  3. Save your changes.

Avoiding Manual Changes Every Time

If you regularly ship to the same locations, use the Address Book feature:

  • Global Address Book: Save addresses for use across all customers. Learn How 

  • Customer-Specific Address Book: Save addresses specific to a single customer profile. Learn how.

    This will ensure your preferred city displays automatically without manual edits.
