Configuring Trucker Tools Tracking in Tai TMS

Use this guide to set up the Trucker Tools integration in Tai TMS for live tracking and automatic BOL/POD capture.

Overview

Stop chasing drivers for updates. With Trucker Tools connected to Tai TMS, tracking runs itself, locations, statuses, and driver-uploaded BOLs/PODs flow straight into the shipment, live.

1. Set Up the Integration

  1. Create an integration source in TMS. Name it using the format: (Customer Name) - TT Load Track.
  2. Enter the encrypted Trucker Tools account key in the Account Number field.
  3. Link the integration to the correct organization in TMS , this determines which organization receives tracking data and documents.
  4. Activate the integration so tracking requests and data sync can begin.

2. Start and Configure Tracking

  1. Initiate tracking from either the shipment details screen or the location history modal.
  2. Enter a tracking identifier : The driver's cell phone number or a truck/trailer number to link the shipment to the driver's Trucker Tools data.
    • If an ELD is available for the driver or truck, TMS will prioritize ELD location data over phone-based tracking.
  3. Enable document capture. In the tracking setup, turn on requests for BOL at pickup and POD at delivery so drivers can upload them directly through the Trucker Tools app.

3. What Happens Automatically

  • BOL and POD uploads are pushed into the shipment's Document Manager and categorized for internal (front-office) visibility.
  • Status updates sync into the shipment activity log and can be mapped to alerts or status codes — ask your TMS admin to configure this mapping if you need custom alerts.

Best Practices

  • Keep tracking identifiers accurate. Driver phone, truck, and trailer numbers can be updated mid-shipment if tracking data stops syncing.
  • Confirm the correct Trucker Tools organization is linked if a carrier needs to see loads under a different account.
  • Test after setup. Before onboarding a large volume of carriers, confirm tracking, status updates, and document uploads all appear correctly in TMS.

Troubleshooting

Symptom Check
Tracking not appearing in TMS Confirm the correct phone, truck, or trailer number was entered. Confirm the integration is active and linked to the correct organization. Check the shipment activity log for exceptions (e.g., load track update failures, permission/location errors). Compare timestamps between Trucker Tools and TMS.
BOL/POD not visible Confirm BOL/POD requests were enabled in tracking setup before the driver uploaded. Confirm document visibility settings allow front-office access.
Carrier can't see loads in Trucker Tools Confirm the integration is linked to the correct Trucker Tools account/organization for that carrier.

If an issue persists after these checks, resubmit or update the tracking details on the shipment.
