Truckload Introduction
The Truckload Operations Dashboard will give you a high-level view of the truckload shipments in the systems. Under Shipments in the Top Menu, there is Truckload Search and Truckload/Volume Quoting. To add new Truckload shipments, click LSP in the Top Menu and LSP Carriers.
Create Shipment Short Form
The Short Form is intended for you to use as a tool to generate a quote quickly. To Access, click Shipments on the Top Menu then Create Shipment - Short Form. Then you will have to fill in the Customer Company and the Contact Name/Login. The fields with a blue highlight indicate Required Fields.
You will need to fill in the following:
- Origin and Destination Information
- Accessorials
- Items to Ship
- Pricing Information
- Cost Calculations
Create Shipment Standard Form
The Standard Form is intended to give you all the fields necessary for you to create an order and dispatch it immediately. To access, click Shipments on the Top Menu then Create Shipment - Standard Form. You will have to fill in the Customer Company and the Contact Name/Login. The fields with a blue highlight indicate Required Fields.
You will need to fill in the following:
- Customer Information
- Shipment References: You can add additional Shipment References by pressing Add Reference Numbers on the right-hand side
- Shipment Type: Truckload
- Origin Information
- Destination Information
- Accessorials
- Pickup Information
- Pickup Instructions: Will show in Bill of Lading
- Internal Notes: For internal use, will not populate on any of the documents
- Delivery Information
- External Notes: For internal use, will not populate on any of the documents
- Actual Pickup(skip)
- Proof of Delivery(skip)
- Items to Ship
- Pricing Information
- Cost Calculations
- Additional Information
Load Board Posting
To access, navigate to the Truckload Volume Quoting Page or click Shipments on the Top Menu, then Truckload-Search. Then, go onto a shipment profile by clicking one of the ID Numbers, and go into Shipment Tools, then Truckload/ Volume Quoting. On the right, there will be a section called Load Board Postings and it will display all of the load boards you have integrations with. Check off the Load Boards you want to post to. The Include Trailer Size refers to the shipment information shown above and Auto Repost will allow the system to go into each load board at the designated time to remove the original posting then repost. To trigger the posting, click the green recycle button towards the bottom of the section. If you want to remove the posting, press the trashcan button next to the recycle button.
Volume Quoting
To access, click Shipments, then Truckload Volume Quoting. The purpose of this tool is to help you find a carrier for the load that you're trying to cover. The tool will look at your shipment history to see if you've done this particular lane before and for what price. It will look at both booked and quoted shipments. You will enter the Origin and Destination Zip Codes and the weight default will be at 40,000 lbs but you are able to modify it. The DAT RateView Estimate will display on the first row and below that will display previous shipments. Below the previous shipments, you will see Regional Carriers. These are Regional Carriers that SaferWatch is stating that handles this particular lane. To Create an Order, select a Customer on the right and click Save Shipment. This will create a new Shipment ID Number and you will be able to post to Load Boards. To Record a Quote, click the Add New Carrier Quote button above and fill in the Modal. To Select a Carrier, click on the blue pencil icon and click the Select for Shipment Button.
Truckload Search
To access, click Shipments from the Top Menu, then Truckload- Search. Alternatively, you can click on the links given under the Truckload Operations Dashboard. This page allows you to search and filter all of your Truckload Shipments. The column Posted indicated posted to Load Boards.
The Shipment ID is color-coded by shipment status:
- Purple: Delivered
- Blue: In Transit
- Green: Covered
- Yellow: Not Covered
- Pink: Not Covered or Posted
On the respective Ship Date and Delivery Date fields:
- If the stop has an Appointment Ready Date and Time, this value will be prioritized
- Else, the TMS will display the Estimated Date and Time
Email Carriers
In order to Email Carriers within the TMS, you will first have to have the Email Contact set up for the Carrier in the LSP Carrier Profile. To Email Carriers within the TMS, access the Truckload Volume Quoting Page. Next to the pencil icon in the Carrier display, you will see a checkbox. Check off the carriers you would like to email and click the blue Email button towards the top. You can fill in your message in the Email Modal and a Carrier Response URL will be sent alongside your message. If you would like to send an email using your own email, you can copy the Carrier Response URL by clicking the pencil icon and copying the URL section within the Modal.
Shipment Profile - Add Stop
To add a stop to a shipment, go onto the shipment profile and find the Destination Information section. There will be an Add Stop link on the right. Once the Add Stop Modal opens, you will be able to fill in the sections with your Address Book and you can indicate the Stop Type as either Pick, Drop, or Both. You can also change the order of the stops by clicking the Arrow buttons under Priority on the left-hand side.
Shipment Profile - Activity Log
The Activity Log notes are automatically reported by the TMS, however, if you would like to manually add an activity, simply press Add Activity on the right side of the Modal. You cannot remove any activities that you add. You can use the Activity Log to communicate with your customers and other members of your organization. You can control who can see the activity through the privacy setting.
Included in the Privacy Setting:
- Private: Only users in your company can see this note
- Public: Both users in your company and your customers can see this note
- Admin: Only users in your company can see this note
Shipment Profile - Location History
To access, go onto a Shipment Profile and click Location History. A Modal will pop up showing a map of the delivery. The green pin refers to the Origin and the red pin refers to the Delivery Destination. As you update the location, blue pins will drop onto the map, indicating the current location of the shipment. On the right are more details of the shipment including the Zip Codes and Remaining Miles. To add an update to the location manually, select the Add Location button and fill in the Modal. You will also receive automated location updates from EDI and API. The Location History will also be visible to the Customers in the Customer Portal.
Shipment Profile - Edit Pricing
You can access Edit Pricing in multiple ways. There is a blue Edit Pricing button on the top right side, it is also under Cost Calculations, and Shipment Tools. The Edit Pricing Modal will have two rows. The first row is for the Buy Price and the second column is for the Sell Price. The first column is for the LineHaul Pricing, followed by the Fuel Percentage, the Fuel Rate, and then the Total. If you have Recalculate Sell with Default Margins checked off, your Sell rate will change as you change your Buy Rate. If the second column turns red, it means that there is a negative margin or no margin on the shipment
Shipment Profile - Shipment Tools
- Commissions: Can Modify or View Commissions on the shipment
- Duplicate: Duplicates order details into a new shipment profile except for the pricing information
- Shipment Automation Log: Provides API and EDI data. This is used mainly for IT Support
- Truckload/Volume Quoting: Allows you to post Load Boards and view DAT Rate Information
- Edit Pricing: Opens the Edit Pricing Modal
Shipment Profile - Shipment Documents
Types of Documents: (Can vary depending on the shipment)
- Bill of Lading
- Carrier Confirmation
- Pickup Alert
- Delivery Alert
- Labels
- Quote Sheet
Send Documents: Email, fax, print, or download documents
Attach Documents: Attach and Label Documents. You can control the Access Level on who sees the document
