AR Dashboard

The AR Accounting Dashboard gives your team real-time visibility into the Invoice status of shipments across your organization. It simplifies month-end invoicing, helps track exceptions, and flags any outstanding balances or variances.

Selecting a Month

At the top of the dashboard, you’ll find a month selector dropdown. This allows you to choose a specific accounting month, which filters all the dashboard metrics to display only relevant data from that selected month.

Tip: If you change the month, the dashboard automatically refreshes to reflect the updated data.

Key Metrics Displayed

Once a month is selected, the dashboard shows several KPIs, each clickable to drill into more detail:

  • Ready for Invoicing.

    • Shows the number of shipments that are ready to be invoiced.

    • Clicking this takes you to the Create Invoices page, where you can process and send customer invoices.

  • Not Printed or Sent

    • Indicates how many customer invoices have been created but not yet printed or sent.

    • Clicking this takes you to the Invoice Delivery screen.

  • AR Variance List.

    • Displays the number of shipments with Invoice discrepancies or pricing variances.

    • Clicking this opens the AR Variance List, allowing you to investigate and resolve issues before invoicing.

  • AR Open Amount.

    • Shows the total dollar value of open/unpaid AR.

    • This metric is visible only to users with AR Collections or IT Support Admin roles.

    • Clicking it opens the Collections Summary screen.

All KPIs are clickable links that redirect to the detailed screens where users can take action on the data.

Dashboard Refresh Data

To ensure the AR Accounting Dashboard loads quickly, it uses a feature called caching. This means the dashboard saves a copy of the data it retrieves and temporarily displays that saved version for a short period of time.

How Often Is the Data Refreshed?

  • Dashboard data is automatically refreshed every 60 minutes.

  • If you return to the dashboard within that time, you’ll see the most recently saved version, which loads faster.

  • After 60 minutes, the system will retrieve updated data the next time you access or reload the dashboard.

Last Updated Timestamp

At the bottom-right of the dashboard, you'll see a "Last Updated" time. This shows when the data was last refreshed, so you know how current the information is.

How to Manually Refresh

If you need the latest data before the automatic refresh, you can switch to a different accounting month and then switch back.
